POSITION:                                           Speaker Liaison

REPORTING TO:                                Conference Producer & Speaker Manager

JOB TYPE:                                            Fixed term contract, full time

LOCATION:                                         London



The Speaker Liaison is an extremely well organised, methodical and self motivated individual. The candidate must be able to remain calm under pressure and have the ability to learn and develop within a fast paced, high pressured environment.  They will possess the ability to work on their own initiative, multi-task and prioritise within very tight deadlines. Excellent time management, attention to detail and the ability to communicate effectively with people at all management levels are vital.


Main purpose of the job

To act as the conduit between the Show Director, Marketing Manager, Operations Team, suppliers and speakers to ensure that the conference runs smoothly.  Providing a customer friendly support service for speakers to ensure the experience is as hassle free as possible for them pre-show and onsite, whilst ensuring the event team have all the relevant information required from the speaker.


Main responsibilities:

  • Liaise with Show Director and Conference Manager to clarify event briefs
  • Liaise with marketing and operations teams to ensure all are aware of speaker requirements
  • Obtain, publish and edit speaker pictures, biographies and session descriptions in line with the marketing and promotional deadlines
  • Chase and receive speaker slides to correct AV specification and to deadline
  • Manage speaker requests in a timely and professional manner
  • Execute speaker agreements
  • Manage speaker fees and expenses in line with event budgets
  • Provide accurate briefs for the operations team and AV company
  • Provide accurate briefs for conference chairs and speakers
  • Manage the speakers, AV technical team and speaker lounge on site at events
  • Organise the logistical requirements for organisations holding small special events

  • Fluency in German is desirable


To have working knowledge of the following packages:-

Microsoft Office to include:-

  • Word
  • Outlook
  • Excel (intermediate/advanced)
  • PowerPoint


Ability to speak German would be desirable but not essential


37.5 hrs a week

48 weeks starting in September

Salary £18,000 per annum
